Every published price we can verify, plus the fees that do not appear next to it. Collected by reading each vendor's own pricing page — never a third-party directory, because those go stale and nobody dates them.

12 of 24 platforms publish a price. The other 12 require a sales call. We list those too, with whatever tier structure they disclose, because "you must call to find out" is itself useful information when you are shortlisting.

Fees that sit outside the sticker price

This is the part of the category that a comparison table normally flattens away. Each note below is taken from the vendor's own published material on the date shown.

Square Appointments

The $0 plan's true cost is processing: 2.6% + 15¢ in-person on Free versus 2.4% + 15¢ on Premium, so a high-volume med spa can pay for the subscription purely in rate savings — or lose money staying free. Manual entry and card-on-file are 3.5% + 15¢ on EVERY tier, which is punishing for a memberships-and-packages med spa that stores cards. Afterpay is 6% + 30¢. Gift card load fee is 2.5% on Free and Plus, 0% only on Premium. Text marketing overage is 3¢/text on Plus and 1.5¢/text on Premium. Pricing is per location. Hardware is sold separately. NOTE: online processing showed inconsistently on the page (2.9% + 30¢ generally, 3.3% + 30¢ against Plus) — verify the online rate directly with Square before publishing it.

Fresha

THE MARKETPLACE COMMISSION IS THE REAL COST: Fresha charges a "20% one-time commission" on new clients booked through its marketplace, with a "Minimum fee of $6 per client applies." Returning clients are free. This is not a line item most buyers model. Everything else is metered: SMS/WhatsApp 100 free monthly then "$0.02 per text" or "$0.04 - $0.11 per WhatsApp"; marketing emails 50 free then "$0.02 per email"; marketing texts "$0.08 per text." Add-ons stack fast — AI Concierge "$99.95 per location, monthly" (200 mins included, "$0.60 per extra min"; 500 messages included, "$0.04 per extra msg"), Client Loyalty "$59.95 per location, monthly," Google Rating Boost "$14.95 per location, monthly," Team Connect "$2.95 per team member, monthly," Insights "$9.95 per bookable team member, monthly," Data Connector "$295 per location, monthly," Premium Support "$14.95 monthly" (free on Team). Card terminals "From $139 per device." Klarna BNPL is "5.99% + $0.30 per transaction." Manual card entry jumps to "3.30% + $0.20."

Aesthetic Record

CONFIRMED ONBOARDING FEE: "$399 Startup & Onboarding Investment" applies to both Essentials and Accelerator. The $15-$19 headline is PER USER, so a 6-person med spa is $90-$114/mo before add-ons — the sticker price is deceptively low relative to per-location competitors. Every clinically important capability is a separate paid module: Cloud ePrescribing is $31-$40 per prescriber on a 6-month rate and $40-$45 per prescriber annually; ChartSmart AI charting is tiered at $30/mo (50 charts), $50/mo (100 charts), $75/mo (unlimited); LeadAR marketing/lead management is $97/month. Storage is capped per user (2 GB / 4 GB) and SMS/email allotments are small (250 SMS + 300 emails per month on Essentials) — overage pricing is not published. Enterprise onsite setup carries separately-billed travel costs. Payment processing rates are not published on the pricing page.

Vagaro

The $23.99 headline covers ONE bookable calendar; each additional employee calendar is $10-$15/month up to 7 licenses. The add-on catalog is where the real bill forms: MySite website $20/month (US); Custom Website Design $299 one-time (US); Brand Package $500 one-time (US); Branded App $100/month (US) PLUS a one-time development fee; Forms $10/month; Check-In App $10/month; Connect AI $10/month; Vagaro Drive storage "Starting at $10/month"; Vagaro Payroll "$34/month plus $5/month per employee" (US only); Data Lake $40/month; APIs/Webhooks "Starting at $10". Text messaging runs on a tiered credit system from 1,000 credits/$20/month (US Small) up to 500,000 credits/$2,500/month (US Ultra). Email marketing is free only on the Small plan (1,000 credits); paid tiers run $10-$90/month. Large-merchant payment processing carries an additional $10/month subscription. Cancellation is genuinely free: "You can cancel your subscription at any time, for any reason—no questions asked, and no fee."

GlossGenius

The cheap $28/$56 Beauty & Wellness tiers do NOT include HIPAA compliance, charting, or medical director sign-off — a med spa must buy the Practice tiers, so the real entry price is $168/mo ($148 annual), a 6x jump from the advertised headline. Payroll is a separate add-on at "$40/month + $6/seat". Instant payouts carry "an additional 1.8% fee" on top of processing (free same-day payouts are limited to Monday–Thursday). Storage is capped at 50 GB / 100 GB — a photo-heavy aesthetics practice can hit this. Annual billing is required to get the advertised discount rates. Positives: processing is a flat 2.6% with "no Tap to Pay, card-on-file, or manual entry fees," free data transfer, and no setup fee.

Jane

Base price covers only ONE practitioner — the real cost is driven by per-practitioner stacking at "$49/month per full-time" and "$29/month per part-time." A 5-provider clinic on Practice is $79 + 4x$49 = $275/mo. The Balance tier's 20-appointments-per-month cap makes it unusable for a working med spa. Paid add-ons: AI Scribe unlimited "$15/month per opted-in practitioner" (only 5 free notes in base), Group Telehealth "$15/month per opted-in practitioner," Insurance Billing "$20/month" base plus "$5 / $2.50 per additional full / part-time practitioner," and Jane Websites "$59/month per clinic." Verify currency at checkout — Jane operates a USD/CAD toggle and is Canada-headquartered. Genuine positives: unlimited admins and unlimited locations at no extra charge, no setup fee, free data import, and "Unlimited Human Support" with no time limits.

WellnessLiving

SEVERE PROMO-PRICE TRAP: the eye-catching "$39/mo" and "$69/mo" figures are marked "*Save 80% for 2 Months" — after two months these revert to $199/mo and $349/mo respectively. Any comparison built on the promo numbers is wrong by 5x. Starter allows exactly ONE staff member, so essentially every med spa lands on Business ($199) or higher. Add-ons are separate: API Access $19/mo, White Label Achieve client app, Presence Custom Website, and CAASI AI Front Desk. Messaging is metered — Message Center marketing SMS "rates vary by country," 2-way conversational SMS is "Pay Per Use," and Direct Mail Postcards are "Pay Per Use," none with published rates. Enterprise carries "Enterprise Royalties and Fees" — unusual language worth diligence for franchise buyers. Payment processing is referenced only comparatively ("starting at 2.59%" in a Mindbody comparison) and is not published as WellnessLiving's own committed rate.

Mindbody

Only a floor price is published — "Starting at $79 USD/month per location." Accelerate and Ultimate prices are both hidden behind "Let's talk," so two of three tiers are effectively unpriced and the $79 figure should never be presented as a med spa's real cost. The page invites negotiation directly: "Connect with Sales to learn about available discounts that fit your studio's size and budget," which signals rep-discretion pricing and variable outcomes between buyers. Pricing is per location. Payment processing rates, SMS/text fees, setup fees, contract length, and add-on pricing are all undisclosed. Named add-ons with no published price: Branded Mobile App, AI Concierge (included in Ultimate, add-on for Accelerate), Mindbody Integrations, Mindbody Capital, Technical Account Management. Payments are marketed with "no monthly fees, no minimums" but no rate is given.

OptiMantra

Priced per person with three different rates: $99 first practitioner, $49/mo each additional practitioner, $25/mo per clinical staff member, clerical staff free. A 4-provider clinic with 2 medical assistants is $99 + 3x$49 + 2x$25 = $296/mo. Communication and clinical add-ons are separate: eRx license with EPCS $38/mo, fax number $25/mo, two-way texting $75/mo, group texting $100/mo, insurance billing $0.25 per claim. Note that texting — which most med spas treat as core — costs more than an extra practitioner seat. Discounts are published and unusually generous: "50% for Students," "30% for part-time or community clinics," "20% for NPs and PAs," though "practice-wide discounts apply only to full-time Providers and Clinical Support." No long-term contract, but 30-day cancellation notice is required. Payment processing rates are not published.

Boulevard

Advertised prices are BOTH promotional AND annual-billing prices — the non-promo rates are $176 / $293 / $410 per location per month, and a 10% discount is tied to annual billing. Prices are PER LOCATION, so multi-site med spas multiply. Major paid add-ons on top of base: Forms "Starting $65 per month per location"; ePrescribe "$45 per prescriber, unlimited support staff"; QuickBooks integration "$45 per month per location". SMS marketing is metered — "Pay based on the number of texts you send and receive each month" with no published per-text rate. Email beyond the free allotment is "$0.01 per email". Essentials caps at 5 professionals, so a growing med spa is forced to Premier. Payment processing rates are not published anywhere on the pricing page.

AestheticsPro

The single biggest cost escalator is the per-user charge on the entry plan: Pro-Plus covers only 3 users and each additional user is "$85/mo" — a 6-user med spa on Pro-Plus costs $415/mo, which is more than the unlimited-user Executive plan at $285/mo. Multi-location support requires Executive or above. Annual prepay savings are referenced but the discount percentage is not published. NOTE ON SETUP FEES: this vendor is widely reported to charge an onboarding/training fee, but NO setup, implementation, or training fee is disclosed anywhere on the vendor's own pricing page — treat any setup-fee figure as unverified until confirmed by the vendor in writing. SMS rates, payment processing rates, and add-on module pricing are also not disclosed on the pricing page.

Mangomint

Base price excludes the two modules a med spa actually needs. Forms & Charting is a $50/month add-on (+$25 per additional location) — this is the ONLY way to get clinical charting, so the real med spa entry price is $215/mo, not $165. Connect (call/text/chat) is $75/month (+$25/location). Payroll is $50/month + $8 per worker. Shopify integration $50/month on Standard (free on Unlimited). Additional locations cost $95 / $135 / $175 per month by tier. Marketing email and text are metered: "Pay as you go (1¢ per marketing credit)," with subscription bundles starting at $50/month. Extra Bluetooth card readers are $100/device. CRITICAL HIPAA GOTCHA: the Essentials tier does NOT include HIPAA compliance — BAA is available only on Standard and Unlimited, so a HIPAA-covered med spa cannot legally sit on the $165 plan. Offsetting positives, explicitly stated: no setup fees, no contracts, cancel anytime, free one-on-one onboarding, free standard data import.

Meevo

ANNUAL CONTRACT IS MANDATORY — "Meevo subscriptions are based on an annual contract." Cancellation requires 30-day notice on monthly plans and notice "by the 11th month" on annual plans, so a missed notice window auto-renews you for another year. All displayed prices are promotional; the regular rates are materially higher ($179 / $299 / $449 salon; $299 / $399 med spa). Med Spa tiers cost $100 more per month than the equivalent Salon & Spa tier for the same user counts — the clinical features carry a hard premium. Lite tiers cap at 5 users. SMS credits are small (100-2,500/month) and marketing email contact counts are capped; overage rates are not published. Payment processing rates are not disclosed. Positive: "Unlimited Implementation & Training" is included at no charge.

Phorest

No monthly prices are published for ANY tier, including the two dedicated MedSpa plans — every tier routes to a quote. The only published rates are SMS: 5c per SMS on Starter after 1,000 free/month, with free allotments rising to 5,000/month (Grow) and 27,000/month (Elite); Phorest Chat "Includes 7,500 SMS for $99." Because SMS allowance is the main visible tier differentiator, a high-volume med spa may be pushed up-tier by messaging costs rather than features. Onboarding is included — "All of our plans include bespoke set up of the software for YOUR salon" with "Client info, service and product import/migration" and "Installation & tailored set up." Unlimited devices and unlimited staff are included at all tiers, which is a genuine cost advantage versus per-seat vendors. Payment processing rates, contract length, and setup fees are undisclosed.

Booker

Only a single floor figure is published — "Starting at $139" — with no individual tier prices; all three named tiers route to "Let's talk" contact forms. Messenger AI is an extra-cost add-on on both Starter and Accelerate. The page carries an important caveat: "Not all features are available in all regions or on all tiers," meaning a feature seen in a demo may not be included in the tier quoted. Setup fees, free trial, contract length, payment processing rates and SMS rates are all undisclosed. Positive: "Booker provides unlimited technical support for the life of your subscription, and you can access online support 24/7."

Zenoti

Zero pricing is published. Two structural cost risks are disclosed in the vendor's own language: (1) AI features are paywalled into a higher package — "You must be on our AI Plus package to leverage our AI Agents," so AI capabilities shown in a demo may require a tier upgrade; (2) communications are metered — "Usage is billed based on consumption with optional base packs," meaning SMS/email costs are variable and uncapped unless you buy packs. Pricing is explicitly footprint-based: "Multi-location pricing is customized based on your footprint and needs," so quotes will differ materially between buyers of similar size. Onboarding is stated as included: "structured onboarding, staff training, and business setup guidance." Setup fees, contract length, and payment processing rates are all undisclosed.

PatientNow

No prices published — "Tell us about yours and we'll put together a quote that fits, no obligation," a fully custom-quote model. The vendor does claim favorable commercial terms: "no contract, free onboarding and speedy setup," which is worth holding them to in writing since it contradicts the industry norm of annual contracts plus implementation fees. e-Prescribing (eRx) is explicitly an OPTIONAL ADD-ON, not included — a material hidden cost for an injectables practice, with no price disclosed. The Essentials/Pro split means labs and insurance billing are gated to the higher tier. Payment processing rates, SMS rates, add-on pricing, and setup fees are all undisclosed.

Symplast

NO PRICING PAGE EXISTS on the vendor's own site — https://www.symplast.com/pricing returns a 404 and no pricing is published anywhere on symplast.com. Pricing is available only via a 30-minute demo with a "growth consultant" (sales line 844-796-7527, hello@symplast.com). Notably, Symplast publishes multiple "How [module] can save you up to $X a month" marketing pages (Payments up to $2,700/mo, Patient App up to $1,200/mo, IT Services up to $200/mo, Secure Messaging up to $100/mo), which indicates a modular product where Payments, Patient App, Secure Messaging and IT Services are separately positioned components — a strong signal of module-based pricing, though no module prices are published. Setup fees, contract length, payment processing rates and trial terms are all undisclosed.

Nextech

NO PRICING PAGE EXISTS — https://www.nextech.com/pricing returns a 404, and no monthly cost, per-provider fee, or implementation fee is published anywhere on the vendor's public product pages. All pricing requires contacting sales (800.868.3694). Nextech is an enterprise specialty-EHR vendor, a category where implementation and data-migration fees are typically substantial and separately quoted — budget for them, but note that no figure is confirmable from vendor sources. Add-on pricing, contract length, and payment processing rates are all undisclosed.

Remedly

NO PRICING PAGE EXISTS — https://www.remedly.com/pricing returns a 404, and the vendor's own FAQ page contains no monthly cost, per-user fee, setup charge, contract length, or trial information. The FAQ does confirm that "e-prescribing, eLabs, and eFax" are described as ADDITIONAL INTEGRATIONS rather than included core features, which points to module-based add-on costs on top of any base subscription — but no prices are published for them. Payment processing rates are undisclosed.

RepeatMD

The pricing page contains NO prices, tiers, or costs whatsoever — it exists purely as a demo capture form. Contract length, setup fees, and any revenue-share or transaction take rate are all undisclosed, which matters because this is a commerce/loyalty product where transaction economics are the core commercial term. IMPORTANT CATEGORY CORRECTION FOR BUYERS: RepeatMD is NOT practice management software and NOT an EMR — it is a branded patient loyalty and ecommerce app (memberships, product sales, treatment promotions, AI treatment advisors), sold as an ADDITIONAL system alongside your PM/EMR, not a replacement. Its own FAQ lists "Do you integrate with my EMR?" confirming it presumes a separate EMR. Patient financing is offered via Affirm at "0-36% APR" — a cost borne by the patient, not the practice. Branded app launch is promised in "30 days or less."

Moxie

MOST UNUSUAL COMMERCIAL MODEL IN THIS SET — there is no subscription price at all. Vendor's own words: "With no fixed monthly fees, we only succeed when you succeed. Our performance-based pricing means we are directly incentivized to ensure your practice's revenue is consistently growing." That is a REVENUE SHARE, and the percentage is not disclosed anywhere publicly — a percentage of revenue can vastly exceed any competitor's flat fee as a practice scales, so the take rate is the single most important number to extract before signing. https://www.joinmoxie.com/pricing returns a 404. IMPORTANT CATEGORY NOTE: Moxie is NOT software-only. It is a med spa launch-and-operate service bundling the software platform with personalized coaching, medical director matching, legal templates, insurance guidance, done-for-you Instagram/Facebook marketing, and monthly 1:1 business coaching. It is therefore not directly price-comparable to a Boulevard or Mangomint subscription. Eligibility is restricted: limited to an "ambitious NP, RN, PA, DO, or MD with hands-on injectables experience." Medical director costs, contract length, and payment processing rates are undisclosed.

Weave

Only a floor figure is published — "simple plans and pricing, starting from $199 per month" — with all three tier prices hidden behind "Get Pricing" buttons. Critically, Weave is a VoIP phone and patient-communication platform, so PHONE HARDWARE is a real cost that is not priced anywhere: the Ultimate tier is described in terms of "up to 15 phones," implying handset counts drive both tier and hardware spend. Per-location and per-line billing structure, hardware fees, onboarding fees, and contract length are all undisclosed — Weave is commonly sold on multi-year agreements, so contract term should be confirmed in writing. Payment processing rates for Weave Payments are not published. Onboarding and support are stated as included: "Award-winning customer support" and "Expert onboarding" in all plans, with "Quarterly one-on-one Training" on Ultimate. CATEGORY NOTE: this is NOT practice management software — it layers phones, texting, reviews and payments on top of whatever PM/EMR you already run.

Pabau

Only the smallest tier (Starter) shows a price, and only in GBP — every other tier requires a demo, so US pricing is effectively unpublished. Tiers are gated by USER COUNT, not features: "Every plan includes full access to the Pabau platform" with no feature gating, so cost scales purely with headcount (1 / 1 / 2-3 / 4-5 / 6-15 / 16+ users). Starter additionally caps at 100 clients, which a working med spa will exhaust quickly, forcing an upgrade. Three paid add-on modules exist with NO published pricing — Marketing Plus, Care Plus, and Insight Plus. Care Plus is the one that matters clinically: it gates Cases/Case types, "High quality photos," advanced clinical tools, and video aftercare behind an extra fee, so the best photo quality in a photo-driven specialty is an upcharge. Annual billing saves "up to 20%" (a 10% figure is also shown against Starter). Vendor states "No commitment." Payment processing rates and SMS fees are undisclosed.


Corrections. If a price here is wrong or out of date, it is a defect and we want to know. Prices move in this category without announcement, and a stale figure is worse than no figure. Send us the vendor page and we will republish with a new verification date.
